How we collect, use, share and protect your personal information — written to be genuinely readable, not just legally sufficient.

This Privacy Policy explains how Atlas & Tide Safaris Ltd. ("Atlas & Tide," "we," "us" or "our") collects, uses, discloses and protects personal information when you visit atlasandtide.com, request a quote, book a trip, or otherwise communicate with us regarding travel across Uganda, Kenya, Tanzania, Zanzibar or the Seychelles.

This policy applies to our website and to the booking, communication and travel-document processes that follow an enquiry. It does not apply to third-party websites, airlines, lodges, insurers or ground operators we link to or book on your behalf, each of which maintains its own privacy practices.

Information We Collect

We collect information in three ways: what you give us directly, what our systems collect automatically, and what we receive from travel partners involved in fulfilling your trip.

Information you provide directly:

  • Contact details — name, email address, phone number and postal address
  • Travel details — passport information, date of birth, nationality, dietary requirements, medical or mobility information you choose to share for trip-planning purposes, and emergency contact details
  • Payment information — processed by our PCI-compliant payment provider; we do not store full card numbers on our own systems
  • Correspondence — anything you tell us by email, phone, WhatsApp or our website's enquiry form

Information collected automatically:

  • Device and usage data — IP address, browser type, pages viewed and time spent, collected via cookies and similar technologies described in the Cookies section below

Information from third parties:

  • Confirmation and booking details returned to us by lodges, airlines, park authorities and ground operators once a trip is confirmed

How We Use Your Information

We use personal information only for purposes connected to planning, booking, operating and improving your trip, and to run our business responsibly. Specifically, we use your information to:

  • Prepare quotes, itineraries and travel documents
  • Make bookings with lodges, airlines, ground operators and park or permit authorities on your behalf
  • Process payments and deposits, and manage refunds where applicable
  • Communicate with you before, during and after your trip, including in-country emergency coordination
  • Meet legal, tax, immigration and park-authority reporting obligations
  • Improve our website, itineraries and service quality through aggregated, non-identifying analysis
  • Send trip-relevant updates; marketing communications are sent only with your consent and always include an unsubscribe option

Our legal basis for processing depends on context: performance of a booking contract, your consent (for marketing and non-essential cookies), our legitimate business interests (such as fraud prevention and service improvement), and compliance with legal obligations (such as immigration or tax reporting).

Sharing With Third Parties

Operating a multi-country safari requires sharing a limited set of your information with the specific partners fulfilling your trip — we do not sell personal information, and we do not share more than a given partner needs to do their part of your booking.

Categories of partners we share information with:

  • Lodges, camps and hotels — name, dates and any dietary or accessibility requirements needed to prepare your stay
  • Airlines and charter operators — passenger details required for ticketing and manifest compliance
  • Ground transport and driver-guide teams — itinerary and contact details needed to meet you
  • Park authorities and permit-issuing bodies (including gorilla and chimpanzee trekking permits) — passport and nationality details required by law to issue a permit in your name
  • Payment processors — handled directly by PCI-compliant third-party processors; we do not receive or store your full card details
  • Travel insurers — only where you have asked us to facilitate an introduction or claim
  • Professional advisors and authorities — where required to comply with law, respond to a legal process, or protect the rights, property or safety of Atlas & Tide, our guests, or the public

We require every partner we share information with to handle it in a manner consistent with this policy and applicable data protection law, though each partner's own privacy practices govern their independent use of your information once received.

International Data Transfers

Because your trip spans multiple countries, your information will necessarily be transferred to and processed in the destination countries on your itinerary (Uganda, Kenya, Tanzania, Zanzibar/Tanzania and the Seychelles), as well as in the countries where our booking and payment systems are hosted. Where we transfer personal information across borders, we take reasonable steps to ensure it continues to receive an appropriate level of protection, including contractual safeguards with processors and restricting transfers to what a given booking genuinely requires.

Cookies & Tracking Technologies

Our website uses cookies and similar technologies to keep the site functional, to remember your preferences, and — only with your consent — to understand how visitors use the site so we can improve it.

  • Essential cookies — required for core site functionality such as page navigation and form submission; these cannot be disabled
  • Preference cookies — remember choices such as currency or previously viewed itineraries
  • Analytics cookies — help us understand aggregated visitor behavior; used only with consent

Data Retention

We retain personal information for as long as needed to fulfil the purposes described in this policy, typically for the duration of an active enquiry or booking plus a period afterward to handle post-trip matters, respond to legal claims, and meet tax and immigration record-keeping obligations, which in most of our operating jurisdictions is up to seven years for financial records. Information collected for marketing purposes is retained only until you withdraw consent or unsubscribe. Where information is no longer needed, we securely delete or anonymize it.

Your Rights

Depending on where you live, you may have the right to:

  • Access the personal information we hold about you
  • Correct inaccurate or incomplete information
  • Request deletion of your information, subject to our legal retention obligations
  • Object to or restrict certain processing, including marketing
  • Request a portable copy of information you provided directly to us
  • Withdraw consent at any time where processing is based on consent, without affecting processing carried out before withdrawal

If you are not satisfied with our response, you have the right to lodge a complaint with your local data protection authority.

Children's Privacy

Our website and services are intended for adults arranging travel, though itineraries frequently include children as travelers. Where a booking includes a minor, the booking adult is responsible for providing that minor's information and confirms they have the authority to do so on the minor's behalf. We do not knowingly collect personal information directly from children through our website, and our marketing communications are not directed at children.

Data Security

We maintain administrative, technical and physical safeguards designed to protect personal information against unauthorized access, alteration, disclosure or destruction, including encrypted data transmission, restricted internal access on a need-to-know basis, and PCI-compliant payment processing that keeps full card data off our own systems entirely. No method of transmission or storage is completely secure, and we cannot guarantee absolute security, but we review and update our safeguards on an ongoing basis and will notify affected individuals and relevant authorities of any data breach as required by applicable law.

Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, our services, or applicable law. We will post the revised policy on this page with an updated "last updated" date, and where changes are material, we will provide more prominent notice, such as an email to guests with an active or upcoming booking.
